We’re seeking an experienced Freelance Senior Experiential Producer to lead the planning and delivery of complex experiential projects across physical, digital, and spatial environments.
Role Overview
The Freelance Senior Experiential Producer is responsible for managing best-in-class experiential projects from acquisition through launch. This role serves as the operational nucleus of each project—owning process, planning, communication, and delivery—while acting as the primary point of contact for clients.
You’ll work closely with Bluecadet’s internal creative, technical, and production teams, as well as external partners, to turn ambitious ideas into actionable plans, timelines, budgets, and deliverables. This role is well-suited for a mid- to senior-level Producer who is comfortable owning multiple projects simultaneously and operating with a high degree of autonomy.
This is a remote, contract role, you must have ability to travel to client sites as needed for key moments such as discovery, reviews, production milestones, or installations.
What You’ll Accomplish
- Lead creative and delivery teams in executing experiential projects across physical, digital, and spatial formats
- Build collaborative, transparent, and trusting relationships with clients and internal teams
- Own project scope, schedules, and budgets—proactively identifying risks, scope creep, or budget issues and working with teams and clients to resolve them
Primary Responsibilities
- Create, manage, and oversee detailed project plans and documentation, including contracts, SOWs, change orders, schedules, and budgets
- Manage day-to-day execution across multidisciplinary teams (design, content, development, spatial), facilitating productive conversations and regular check-ins
- Lead internal and client status meetings; document and distribute notes, decisions, and action items
- Serve as the primary client contact, maintaining strong and proactive client relationships
- Lead discovery phases, define project approach and scope, and guide teams through ideation, development, production, and installation
- Coordinate with external partners such as AV integrators, fabricators, lighting specialists, and production vendors to ensure creative intent is executed across all phases
- Assign tasks, track progress, and manage dependencies throughout the project lifecycle
- Identify and mitigate risk related to scope, schedule, and budget
- Manage changes to scope, timeline, and cost using appropriate project management methods
- Ensure resource availability and effective allocation
- Track and report on project performance using internal tools; escalate issues as needed
- Oversee testing and quality assurance to ensure all deliverables meet Bluecadet’s standards
Core Competencies
- Experience producing physical environments, exhibits, or installations, including coordination with fabrication, AV, and onsite execution teams
- Strong ownership of budgets and schedules across complex, multi-phase production cycles
- Solid understanding of creative, technical, and production workflows
- Excellent written and verbal communication skills
- Confident and professional in client-facing situations
- Highly organized with strong attention to detail and the ability to manage multiple projects simultaneously
- Diplomatic and solutions-oriented in high-pressure or ambiguous situations
- Self-directed, proactive, and comfortable working independently
- Collaborative, reliable, and adaptable—willing to step into different roles as projects require
Experience & Qualifications
- Bachelor’s degree preferred
- 5+ years of relevant professional experience
- At least 2 years managing experiential projects such as exhibitions, interactive development, immersive media, and/or digital installations
- Demonstrated experience managing complex projects with multiple stakeholders and vendors
